Emptying Book Returns and Check-in Notes

Notes about Emptying Book Return and Check-in

Emptying the Book Return:

  1. Empty the book returns often, at least every two hours. Even if there is only a little to empty, it must be emptied every two hours. This is assigned on the desk schedule. 
  2. When you empty the book returns, look for jams in the outdoor book return and empty the indoor book return. 
  3. Put items on the red carts in the book return room. Mark the purple slip with the date and time you start a cart – you only need to fill out the purple slip when you are starting a new cart. 
    1. If you are emptying the overnight book return, mark the last day the library was open on the purple slip if you are starting a new cart.
  4. Please fill the carts completely – top and bottom shelves – so we don’t run out of cart space.
  5. Leave red carts in the book return room. If all carts are full, please see Molly, Denise, or Lori E. or a circulation library associate
  6. If you have a bulky Learning Tool that doesn’t fit on a cart, leave it on top of the indoor book return until it can be checked in. 
  7. Gloves are optional for emptying the book return. Wash or sanitize your hands after emptying the book return.

Check-in:

  1. Please continue to use a microfiber cloth and an all-purpose cleaner to wipe down materials at check-in.
  2. Pay special attention to the date items were returned and backdate as necessary.
  3. Wash or sanitize your hands after check-in.

Items from the cupboard above the sink

Hi All,

Space was getting tight in the breakroom cupboard. I pulled four cups ( a teal coffee thermos, a blender bottle, a magic bullet type mug, and a black coffee thermos) that were a little bulky and I hadn’t seen used recently. I put them on the small table in the breakroom.

If one of these items is yours and you do want it here, totally fine. Please just put it back in the cupboard.

If an item is yours and you want it but you can keep it at your workspace or in your basket to save space in the cupboard above the sink, reply to this email and I’ll grab it for you.

JPL no longer has a quarantine period after items are returned

Starting today, February 21st, there is no longer a three to five-day quarantine period after items are returned to the library.

Language about the quarantine period will be removed from email notices and our website tomorrow.  Remember that items deposited in the Beaver Creek Book Return will still have a delay.

Donations will continue to be placed in the East Meeting Room. Please do not leave them in the book return room.

Circulation staff will be emptying the book return at least every two hours, and our goal will be to process all items by the end of the day they are returned to the library.

Letters getting cut off on Hold Pickup Slips

If you are printing a hold slip and you notice that the patron’s name has letters with descenders (tails) that are being cut off, please edit the patron’s registration record to capitalize all the letters their first, last and middle names.

Then reprint the slip.

It is not your responsibility to catch all of these names. If you notice them, please change them. If you notice holds with names that are hard to recognize because letters are being cut-off, please take a minute to capitalize the names and reprint the hold slip.

Quarantine period for returned materials

Starting today circulation staff will be working to get “caught up” on check-in. We will not be quarantining items for 72 hours going forward, although we are giving ourselves until February 22nd to work through the piles of materials in the quarantine room so there still will be a delay between when items are returned and when they are checked-in.

We will not advertise this change to library users, but starting February 22nd, we will remove the language stating that we quarantine materials for 3 – 5 days from our emails and the website.

Until February 22nd, we will still empty the book return in the meeting room and label the tables with the date and time.

Currently, the only change to the process is that we may be checking in items sooner than 72 hours.

Calling Patrons for Holds

I am working to update our documentation, but in the meantime, we have switched our process for calling patrons with holds.

We will no longer print the second hold slip with the patron’s contact information. Holds to be called will not be separated. They will be filed with other holds immediately.

The circ staff member assigned to call holds around 6 pm, will go to the Patron Assistance menu and select  Holds to Call. They will call the patrons listed. If you speak to the patron or leave a message for the patron, please check the box next to their name. When you are done, please delete the selected patron. We will call those you couldn’t reach tomorrow.

Self Serve Holds – a few more notes

 

  • We will only checkout and bag items for curbside appointments.
    1. Circ will no longer pull and bag holds for PC and browsing appointments at the beginning of the day as patrons can easily grab their holds while they visit.
    2. If someone calls wanting to pick up their holds outside of curbside hours, please just let them know that the holds will be available near the entrance during our open hours. We won’t be bagging items to put by the bouncer desk any longer.
  • Every chance you get, please remind patrons that they will need to check out their holds at the self-check kiosk or at one of the service desks.
    • Ways to borrow:
      • Present the library card
      • Present photo ID
      • Provide three pieces of information on the account

Self-Serve Holds – what goes behind the Circ Desk?

Since we are transitioning to self-serve holds, we will go back to putting ILLs, Learning Tools, Launchpads, and oversized items behind the Circ Desk. We will put an empty case with a copy of the hold slip on the holds shelves with a note to visit the Circ Desk.

As you point people to self-serve holds, please remind them that they will need to check out the items on the holds shelf at the self-check kiosk or at one of the service desks.

ID and proof of address for digital cards

Library users that apply for a digital card will need to provide a photo ID and proof of address when they borrow for the first time in the library building – this does not apply to curbside. Some digital cards have a blocking note asking for a photo ID and proof of address. If the patron provides a photo ID and proof of address, please delete the blocking note and replace “digital” with the driver license number in the driver license field in the registration window. If they forgot their ID or proof of address, we can allow them to borrow but ask them to provide it at the next visit and do not delete the blocking note.

How to Delete a Blocking Note –

1)Get to the General View

2)Highlight the note you want to delete

3)Click Delete

Charles Koehler

Charles Koehler’s daughter just called, and he passed away. He only passed away two days ago, but she said the library was on her mind because he continued to talk so highly about our collection and staff until his last days.

I don’t see an obituary listed yet, but I thought I’d pass on the news and her kind words.

Blaine will be leaving JPL

Sunday will be Blaine’s last day working at JPL as he has relocated to Carroll to be near family. As much as I know he will miss us, I know he won’t miss commuting through winter weather.

I put a note for him in the break room to sign well wishes.
